Privacy & email choices

Score registrations and prize-announcement requests for Edelweiss Run are managed by Edelweiss Village. The game is created by Conexkt Consulting Ltd., which provides technical support. You can play without giving us your name or email. If you choose to register after playing, this notice explains how your information is used. The prize and draw terms have not yet been announced; registration is not a confirmed prize-draw entry.

What we collect

When you register, we collect your name, email address, game score, registration identifier, submission time, registration type and your consent choices, including the version of the privacy notice and registration information shown to you. Our hosting provider may also process technical information such as your IP address and request details for delivery, security and spam prevention.

Why we use it

Edelweiss Village uses your registration information to save your score, manage duplicate registrations, respond to requests and email you the prize announcement and instructions for entering the upcoming draw. Registration does not automatically enrol you in a draw with terms you have not seen. You will be able to review the prize, eligibility, dates and rules before confirming any draw entry. The game score is for fun. We do not publish your name, email or registration.

Optional updates are separate

Registration includes the prize-announcement and entry-details email you request. Other marketing updates are separate. Each optional box is unchecked by default. If you choose:

• Conexkt updates: Edelweiss Village may share your name, email and proof of that consent with Conexkt Consulting Ltd. so it can send emails about its projects, events and services.
• Edelweiss Village updates: Edelweiss Village may use your name and email to send village news, stays, offers and event emails.
• Foundation updates: Edelweiss Village may share your name, email and proof of that consent with the Swiss Edelweiss Village Foundation so it can send heritage, event and fundraising emails.

We will share only the contacts who selected the relevant organisation, together with their consent record. Selecting an option does not guarantee an immediate email. Declining or withdrawing marketing consent does not affect your score registration or the prize-announcement request.

Who can access it and where it is stored

Edelweiss Village is responsible for registration management and privacy requests. Registrations are stored privately through Netlify Forms in the hosting account maintained by Conexkt Consulting Ltd. Conexkt provides technical support and may process registrations on Edelweiss Village’s behalf. Netlify provides form processing, hosting and spam protection. Access is limited to authorised personnel who need it for these purposes. Netlify’s services and subprocessors may process information outside Canada, including in the United States, where local laws may permit access by public authorities. We do not sell your registration information. Service providers receive information needed to deliver their services; use for marketing and sharing with the named organisations for their marketing depend on your choices. We may disclose information where required by law.

How long we keep it

Registration information is kept for the period reasonably needed to manage registrations, communicate prize and entry details, resolve queries and meet applicable legal obligations, then deleted or anonymised. If the planned draw does not proceed, information is deleted when it is no longer needed for these purposes. If you opt in to updates, the relevant organisation keeps a separate contact and consent record until you unsubscribe or it is no longer needed. Limited consent and suppression records may be retained to demonstrate consent and honour an opt-out.

Your choices and requests

You can ask to access or correct your information, request deletion, or withdraw consent by emailing info@edelweissvillage.ca. Tell us which organisation or purpose your request concerns. We may ask for information needed to verify that the record is yours. Withdrawing registration consent means we will stop using your registration for prize-announcement and entry-details emails, subject to any record we must retain by law. Marketing emails must include an unsubscribe option; you can also contact us to withdraw any of these marketing choices.

On your device

The game keeps a best-score number in your browser’s local storage. It does not save your name or email there. You can remove the best score by clearing this site’s browser data. The game has no advertising pixels or analytics scripts. Hosting systems may keep operational logs. Other websites linked from the game have their own privacy practices.

Public Top 10 scoreboard

Posting to the Top 10 is optional and separate from registration. If you post, we store only the nickname you type, your score and the time it was posted, and show the nickname and score publicly on the game page. We do not store your name, email or IP address with it. Please don’t use your full name, email or other personal details as a nickname. Only the ten highest scores are kept; lower scores are not saved. The scoreboard is stored with our hosting provider, Netlify, and is cleared after Guide Days 2026 activities end. To have a nickname removed, email info@edelweissvillage.ca. Inappropriate nicknames may be removed.

Children

Anyone can enjoy the game without submitting personal information. A parent or guardian should use their own name and email if registering on behalf of a child. Eligibility for the upcoming draw will be stated when its rules are announced.
